This policy explains how Taking Shape Ltd, trading as Taking Shape Advisory, uses personal information collected through takingshapeadvisory.com. Taking Shape Ltd is the controller of that information. We are based in Brighton, UK, and you can contact us at hello@takingshapeadvisory.com.

What we collect

We collect only what you choose to give us, plus basic technical data when you visit the site.

  • Enquiry details. When you use the contact form we receive your name, work email address, organisation (if you give it), a description of what you are working through and, optionally, how you heard about us.
  • Correspondence. If you email us or we reply to an enquiry, we keep that correspondence.
  • Visit data. Our website platform records technical information such as your IP address, browser and device type, the pages you view and the site you came from. We use this in aggregate to understand how the site is used. See our Cookie Policy.
  • Social media. If you follow or message us on LinkedIn or Instagram, those platforms handle your information under their own policies.

How and why we use it

We use your information to respond to your enquiry, to discuss whether and how we might work together, and to keep a record of that conversation. We also use visit data to keep the site secure and to improve it.

Under UK data protection law we rely on the following lawful bases.

  • Replying to an enquiry and taking steps before entering a contract: legitimate interests, and steps taken at your request before a contract.
  • Keeping business correspondence and records: legitimate interests.
  • Site security and aggregate analytics: legitimate interests.
  • Any marketing or additional cookies we might add in future: consent.

We do not sell your information and we do not use it for automated decision-making. We will only send you marketing emails if you have asked us to.

Who we share it with, and how long we keep it

We share information only with the providers that help us run the site and the business, and only as far as they need it.

  • Squarespace, which hosts the website, processes contact form submissions and provides site analytics.
  • Google Workspace, which provides our email and file storage.
  • Professional advisers or authorities, where we are legally required to or need advice.

Some of these providers are based outside the UK, including in the United States. Where that happens we rely on the UK's approved safeguards, such as adequacy arrangements or the International Data Transfer Addendum.

We keep enquiry details and correspondence for as long as the conversation continues and for up to three years afterwards, unless we need to keep them longer for legal or accounting reasons. If we work together, we keep project records for the period the law requires. You can ask us to delete your enquiry earlier.

Your rights

You have the right to ask us for a copy of the personal information we hold about you, to have it corrected or deleted, to restrict or object to our use of it, and to ask for it in a portable format. To use any of these rights, email hello@takingshapeadvisory.com. We will respond within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last changed.
